Company cars and DVLA records need clearer authority than a private driveway car. Check who is the registered keeper, who can release the vehicle, which address it is collected from, and where receipts, payment evidence, DVLA notification and tax notes will be filed after scrappage.

  • Keeper: Check whether the company, director, employee or lease holder appears on the V5C record before disposal.
  • Authority: Keep written permission from the person or business allowed to release the vehicle on collection day.

A Work Car Has More Than One Audience

A private owner usually wants the car gone and the paperwork closed. A company car has extra people in the background: the director, accounts, an employee, a fleet contact, maybe a garage, and sometimes the registered keeper shown on the V5C.

Match Receipt, Payment And Accounts Notes

The receipt should show enough detail for the business to connect it to the right vehicle: registration, date, agreed amount and who collected it. Payment evidence should also be saved where accounts can find it later.

Avoid casual wording such as "old van gone" in internal notes. The record should name the vehicle clearly. That helps if the business later reviews fleet costs, insurance, tax or disposal evidence.

If tools, racking or signwriting were removed before collection, note that too. It separates the vehicle disposal from the contents or branding decisions, which may belong to different people in the business.

Close The Vehicle In More Than One System

After collection, update the places where the vehicle still exists on paper: insurance, maintenance lists, fleet spreadsheets, fuel cards, parking records and DVLA notes. A company car is finished only when the internal record and the official record both stop treating it as active.

That tidy finish is worth doing before memories fade and the employee who arranged collection has moved on to the next job.
